The condition of every room — on one map
Strong Stay shows what's broken in which room, who is fixing it and what it costs the hotel in condition score. Defect-matrix inspections, issues with photos and analytics instead of spreadsheets and notes.
In use at Narva Hotell. Strong Stay does not handle bookings, guests or housekeeping statuses — it is not a PMS, but a tool for tracking room condition and repairs.

- room condition score based on a defect matrix
- 4 steps

From room walkthrough to owner report
Technicians, housekeepers and front desk work from one issue list, while the owner sees where the hotel is losing quality.
Room map
Rooms by floor: border color shows the lock type, the score is at the bottom, an orange badge marks open issues. Out-of-order rooms are hatched. The map refreshes on its own — handy for a screen at the front desk.
Matrix-based score
Score = 10 minus penalties for open defects and condition rules, never below 1. About 36 starter defects in groups: furniture, surfaces, electrics, plumbing, textiles, appliances, cleaning.
Inspections
A walkthrough is a defect checklist. Tick a defect and an issue opens; untick it and the issue closes. The score is saved with a date and comment.
Issues with photos
“Active”, “Mine” and “Completed” tabs. Assignee, priority, comments and photos (JPEG, PNG, WebP, HEIC). The “Fixed” button closes the issue and restores the points.
Change log
Everything that happened to a room: issues, assignments, comments, photos, inspections. Lock changes have their own history and reason.
Breakdown analytics
New and fixed per week, average score, median days to repair. Recurring and stalled breakdowns, problem rooms. Filters by floor, group, category and priority.
Set up for your hotel
Room categories with area and capacity, conditions (renovated, old stock, under renovation), lock types, score thresholds, logo and time zone. Every list is editable.
Staff and roles
The owner creates staff logins, changes roles, blocks accounts and resets passwords. Custom roles are set in a permission grid by section and action.
A room walkthrough turns into issues by itself
A housekeeper or technician ticks defects on the checklist, and the system calculates the score and opens issues. Once the work is done, the points go back to the room.
- Penalties in 0.25-point steps — you decide what matters most
- Condition rules: for example, “old stock” lowers the score by a point
- A score breakdown for every room shows where the deductions come from
- Issues can be created without a defect — they won't affect the score
- Large interface by default for housekeepers
See what keeps breaking and what nobody fixes
The report builds itself from daily work, with no extra data entry. Ready to show an owner or contractor.
- New and fixed breakdowns per week
- Average score of the room stock and its change over the period
- Recurring breakdowns and issues with no progress for N+ days
- Problem rooms and a breakdown by defect group
- Any chart can be opened as a table
Everyone sees only their own work
Permissions are set per section: map, rooms, locks, issues, analytics, comments, inspections, score, settings, staff, roles.
- Each hotel is a separate organization, with all data isolated
- Nothing is public: staff sign-in only
- Starter roles: owner, technician, housekeeper, front desk — plus custom roles
- Interface and list names in Estonian, Russian and English
- Works on phones, tablets and large screens; light and dark themes
- Sign-up for new hotels can be disabled so only an administrator adds them
Frequently asked questions
Is this a booking system or a PMS?
No. Strong Stay does not handle bookings, guests, rates or housekeeping statuses. It tracks the technical condition of rooms, inspections and repairs — something a PMS usually lacks.
Does it control electronic locks?
No. It only records the lock type in each room (for example, RFID or mechanical) and its replacement history — so you can see where a change is due.
How long does it take to get started?
A four-step wizard: hotel, room categories, rooms in ranges by floor, staff. Rooms are created in ranges, so there's no need to enter them one by one.
Do I need to install an app?
No, it's a web app: it runs in the browser on phones, tablets and computers. The map can be shown on a screen at the front desk.
Where is it already in use?
At Narva Hotell — that's where it was refined. We're onboarding more hotels and will help you set up your room stock and staff roles.
